What the different account statuses and what do they mean?


Active Account Status

Active accounts are ongoing paying subscribers who have completed onboarding and their payment information is in good standing. A customer transitions from Onboarding to Active status when one of two conditions is met: either the mailbox renter has received their first piece of mail, or they have submitted their 1583 form.


Closed Account Status

Closed Accounts are no longer paying subscribers. They have no access to their mailbox software, and you are not able to assign new mail to the customer.

Closed accounts can be closed one of three ways.

  1. You (Operator) have selected to end an account subscription using the Close Account option found inside the customer profile page.
  2. The customer violates terms and conditions of PostScan Mail.
  3. The account is closed by the system for non-payment.
  4. The customer decides to end the agreement with PostScan Mail.

When the customer chooses to end the agreement they are asked to complete the following instructions.


Suspended Account Status

Suspended accounts have been flagged for suspension due to a payment issue on the mail box renters end. They will not be able to complete mail requests until they have updated their billing information. They will receive the following notification in their inbox to alert them.


Onboarding Account Status

Onboarding accounts do not yet generate revenue until one of two conditions. When their first piece of mail is received, or when their 1583 is uploaded. Once one of these conditions are met the customer will automatically switch to Active status.


Invited Account Status

Invited accounts are when the store manually sent them an invite through the add customer button. The add customer button sends them an email invite to finish signup, but they have not yet completed

it. This is shown on the screen shot below.

Transferred Account Status


Transferred Indicates that the account has been reassigned to a different operator or moved to a new location. This status ensures proper tracking of the transition while maintaining continuity and accurate recordkeeping.
